When you need to give us your personal information

When you visit our website: (IP address, URL, Browser, OS)

ETHOS MEDIA S.A.  can detect the IP address through which the computer or any other electronic device accesses the Internet and then our website.  This is due to the way the internet works and aims to secure networks from malicious actions. For the same reason, this function collects information about the type of browser and the operating system (windows, android, iOS,   etc.) of the user. This information cannot identify you  directly and stored for the minimum necessary period for network security. This information does not require your prior consent before downloading it, as it is necessary for the safe and proper operation of each website.

This information is kept in log files on our website server for 12 months.

The legal basis for the initial collection of this data is Article 4 para. 5 c’ of Law 3471/2006, according to which technical storage or access is allowed, the sole purpose of which is to carry out the transmission of a communication over an electronic communications network or which is necessary for the provision of an information society service,  which the user has expressly requested.  The legal basis for the retention of  your information is our legitimate interest in the proper and safe operation of our website. You have the right to object to the retention of this information on grounds relating to your particular situation, as long as your rights and freedoms prevail. of our legitimate interests or the necessity of collecting the data for the establishment, exercise, or support of our legal claims. Information stored automatically – Cookies Policy

If you provide your consent, ETHOS MEDIA S.A.  uses cookies for the statistical analysis of the operation of the website, the measurement of traffic and certain other elements of the effectiveness of the operation of the page, which are provided to us in a form that cannot directly identify you.

  • Targeting/advertising cookies

These cookies are used to provide content that best suits you and your interests. They can be used to display targeted advertising / offers, limit ad serving or measure the effectiveness of an advertising campaign. These cookies may be used to remember the websites you have visited to determine which online marketing channels are most effective and allow us to reward external websites and partners who have forwarded you to us.

When you create a user account on our website  and when you place an order for one of our products / services

If you wish to create a user account on our website, in order to place orders in our online store, you will need to enter a username of your choice and an email account in order to receive notifications about  your account and your  orders. If you place an order, you will be additionally asked for your full name, title, contact phone number, billing address, and, if you are requesting an invoice to be issued to a company, the name of your company and the industry to which it belongs.    Also, to create your account, you will be required to create a personal password, which you will need to protect from third-party access.

The above personal data is necessary in order to submit your orders so that we can execute them, but also to contact you to inform you about them if necessary, as  well as to issue the necessary tax document (receipt or invoice).

The legal basis for the use of this information is in the first phase the fulfillment of a contract at your request, i.e. the service provided by us as a member of the website, as part of the submission of orders. In case you subsequently place an order, the legal basis for our use of this information is the fulfillment of the sales contract we enter into with you; when we accept your order or taking steps at your request (your order) before entering into a contract, for example to customize the requested service according to your requirements. For the processing of your tax information, which is necessary when you request the issuance of an invoice, the legal basis is our legal obligation to issue the tax document, and to submit the relevant tax rerorts.

The order details you submit to us will be retained for 5 years from their submission, for the purposes of proving the transaction and establishing, supporting, or exercising legal claims within the prescribed limitation period. Especially for tax data, they will be retained for as long as their preservation is required by the applicable law (currently 10 years).

In case you do not provide any of the above information, it will be impossible to create the user account, as we will not be able to recognize you among other users and respond to your requests and orders.

Automated decision-making

We do not use your personal data for automated decision-making that may have legal consequences or other significant consequences for you, nor do we create profiles for you based on your personal data.

What are your rights under the General Data Protection Regulation (GDPR)?

RIGHT OF ACCESS AND RECTIFICATION

You have the right to know whether the personal data concerning you have been or will be processed and, in any case, to demand from ETHOS MEDIA S.A. the correction of your personal data if it is inaccurate, or their completion in case of deficiencies. When updating your personal information, you may be asked to verify your identity before we can satisfy your request.

RIGHT TO PORTABILITY

You may receive your personal data in electronic form. Your right applies to:

  1. A) if you provided them yourself
  2. B) either by giving your consent
  3. C) or to enter a contract with us.

You will receive them in a structured, commonly used and machine-readable format (i.e. in a type of electronic file widely used and easily readable by common software), as well as transmit them or request their transmission from us to another controller, provided that this does not adversely affect the rights and freedoms of other persons.

RIGHT TO ERASURE

Under the conditions of the law, you can request the deletion of your personal data, as well as in specific cases the restriction of the processing they undergo. Personal data that we are required to keep due to legal obligations cannot be deleted.  Deletion of personal data necessary for the performance of a contract may lead to cancellation of the contract or inability to perform it.

RIGHT TO OBJECT

You have the right to object at any time to the processing of data concerning you.

This right applies to you if the reason for their processing by us is our legitimate interest and you have an objection due to any of your particular circumstances (for personal, professional or social reasons).

This applies to the information that is automatically collected when you browse the internet, and on our website, as well as when you send us a message through the contact form of our website, but also wherever else mentioned in this text.

RIGHT TO RESTRICTION OF PROCESSING

You have the right to request the restriction of processing of your data.

This will apply if you contest the accuracy of your data and until we verify it, when you consider that the processing being done is unlawful, when we no longer need it, or when you have exercised your right to object.

RIGHT TO WITHDRAW CONSENT

When we process your personal data on the basis of the consent you have given us, you have the right to withdraw it freely, at any time, without retroactive effect, and without suffering any consequence in other services we provide to you for other reasons (eg based on a contract for the sale of our products).

RIGHT TO COMPLAIN

You have the right to lodge a complaint with the Personal Data Protection Authority in case you consider that your data is being unlawfully processed. The Authority recommends that  you first contact us to submit any complaint or request. You can do this free of charge  by emailing  the Data Protection Officer appointed by ETHOS MEDIA S.  A.  and at dpo@ethosmedia. eu .  We will make every effort to satisfy your request. In case you are not satisfied with our response, you can submit your complaint to the Authority (1-3 Kifissias Ave., 115 23 Athens, tel. 210-6475600, www.dpa.gr, email: complaints@dpa.gr).

How to exercise the above rights:

For the exercise of your rights, as well as for any information regarding the processing of your personal data, you can submit a request to dpo@ethosmedia. eu .

We may need to ask you for your identification before responding to make sure that no one else is exercising your right.

As a general rule, your request will be complied with within one month of receipt or, if it is particularly complex, you will be informed accordingly at least within one month of the delay that may be caused by the complexity of the request.

Information and all related responses to your requests are provided free of charge, unless they are excessive or repetitive.

Retention period of your personal data

Your personal data is retained only for as long as is necessary for the purpose for which it was collected, according to the distinctions mentioned in the above cases of their use.

Who may be the recipients of your personal data?

  • Access to the data is restricted only to authorized partners of ETHOS MEDIA S.A., whenever necessary. We may give access to your data, on a case-by-case basis, to our partners who provide their services to us (such as web hosting providers, website management providers, IT support providers, e-mailing providers etc) if their services are necessary for our operation and your service. All our partners are bound to us by a contract to protect your personal data and are committed not to disclose to anyone else.

In any case, your personal data will not be transmitted or disclosed to anyone for marketing purposes without your prior express consent.

Transfers to third countries

Your personal data is not transferred to third countries outside the EEA or to international organizations, which do not enjoy an adequacy decision for the protection of personal data or without the necessary guarantees provided by the GDPR.  The data of our website is kept on secure servers within the EU.

Security of your personal data

ETHOS MEDIA S.A.  implements appropriate technical and organizational measures to ensure the appropriate level of security of your data against risks. However, no information system is 100% secure. In any case, ETHOS MEDIA S.A.  has put in place a plan to deal with any incident of violation, to eliminate or limit its consequences, according to which if a high risk to your rights or freedoms arises, you will be informed immediately.

Update and amendment

ETHOS MEDIA S.A.  reserves the right to modify / update this Policy, without the obligation to inform you in advance. Please always read the Privacy Policy before using our website, in order to be informed about its current version.
